Terms and Conditions

Straightforward Heathrow parking information, booking and support.

1. Bookings & service

  • 1.1 Bookings may be made online, by telephone or by email. Online bookings must be made at least 24 hours before departure. Where less than 24 hours remain, contact us by telephone.
  • 1.2 We make reasonable efforts to collect and deliver vehicles at requested times, but are not responsible for delays outside our reasonable control, including congestion, delayed flights and security alerts. During busy peak periods, vehicle returns may take up to two hours.
  • 1.3 We may refuse a website or consolidator booking where payment is declined or the booking cannot reasonably be fulfilled.
  • 1.4 We may cancel a booking because of circumstances beyond our reasonable control or other unforeseen operational issues. This does not affect any refund or statutory remedy legally due.
  • 1.5 During pandemic restrictions or local lockdown rules, standard services may be suspended in line with government guidance and customers may need to deliver and collect vehicles at our parking facility.

2. Payment

  • 2.1 An extension beyond the original booking period costs £20 per day and must be paid before vehicle return. We may retain the vehicle while a lawful outstanding charge remains unpaid and may pursue available legal recovery remedies. Any sale or disposal would occur only where expressly permitted by law and after the required notices and procedures.
  • 2.2 Full payment is due before the service begins.
  • 2.3 A £20 charge applies where a vehicle must be returned after midnight.
  • 2.4 Heathrow terminal drop-off and short-stay charges are not included. Customers are responsible for paying those charges and any penalty caused by non-payment.
  • 2.5 We may charge £20 where a flight is early or delayed by more than two hours and this causes additional operational costs.
  • 2.6 C8 Airport Parking Heathrow administers website transactions. Online payment details are processed securely by the enabled WooCommerce payment gateway.

3. Amendments & cancellations

  • 3.1 Subject to the conditions of the package purchased, an eligible booking cancelled at least 48 hours before service receives a refund less a £20 administration fee. Best Value and any other package clearly sold as non-refundable remain non-refundable.
  • 3.2 No refund is issued for cancellation or non-use within 48 hours of the scheduled travel day, except where required by law.
  • 3.3 Shortening a stay after service begins does not reduce the original fee. An early-arrival handling fee of £20 may also apply.
  • 3.4 An alteration within 48 hours of departure or during a stay costs £20 per amendment. Amendments must be requested by telephone or WhatsApp on 07577 689401; email amendments are not accepted. Charges must be paid in advance to confirm the change.

4. Liabilities & other terms

  • 4.1 Our insurance covers our standard legal liabilities.
  • 4.2 The vehicle and its contents remain at the owner’s risk except to the extent loss or damage results from a liability we cannot lawfully exclude. Our motor insurance covers operational driving between the airport and parking location; customers should maintain their own vehicle insurance throughout.
  • 4.3 Report alleged damage immediately on return, obtain written acknowledgement from the attending driver and complete the complaint form. Take clear pre-handover photographs of every side, angle and dashboard mileage and corresponding post-return photographs before accepting the keys and leaving.
  • 4.4 We do not accept responsibility for inherent or pre-existing mechanical, structural or electrical failure, including windscreens, glass, tyres and alloy wheels, unless caused by our negligence. Dash cameras may be disconnected during the service for security and privacy.
  • 4.5 We are responsible for loss or damage only to the extent it is proven to result from our negligence or another liability that cannot lawfully be excluded.
  • 4.6 The vehicle must remain taxed, insured, roadworthy and compliant with the Road Traffic Act 1988. The customer is responsible for costs caused by non-compliance.
  • 4.7 Hand over only the vehicle key. We are not responsible for pre-existing faulty keys or fobs. Reasonable staff-time charges may apply where a vehicle fails to start.
  • 4.8 Reasonable charges may apply for inflating or changing a punctured tyre.
  • 4.9 Reasonable charges may apply for attempting to jump-start a flat battery. We do not accept liability for consequential damage unless caused by a failure to use reasonable care and skill.
  • 4.10 If terminal collection is required because of a mechanical breakdown, we may charge for the service and associated costs.
  • 4.11 Customers should travel with a spare key and are responsible for supplying it if required.
  • 4.12 During peak periods or extended stays, a vehicle may be stored at a secondary compound up to 50 miles away each way, or temporarily in a public parking facility.
  • 4.13 Where we accept a repair claim, work must be completed by our approved repair organisation. Delivery to and collection from that facility are the customer’s responsibility, subject always to statutory rights and any remedy required by law.
  • 4.14 A designated operational partner or sister company may occasionally fulfil the booking.
  • 4.15 Where a key is lost, we may use an authorised locksmith.
  • 4.16 A customer travelling without a spare key remains responsible for obtaining and supplying one where required.
  • 4.17 If no spare key is available, the vehicle may be recovered to a nominated address at the customer’s reasonable expense.
  • 4.18 Approved damage repairs must be completed by an approved garage, subject to statutory rights.
  • 4.19 An excess of up to the first £750 may apply to an accepted damage claim where lawful and disclosed by the applicable insurance arrangement.
  • 4.20 Approved repairs restore the vehicle to no better than its pre-handover condition. We do not provide courtesy vehicles or reimburse rental costs unless legally required.
  • 4.21 Vehicles are not routinely inspected for existing damage. On request and payment of £20, we can inspect paintwork and bodywork and record visible damage on a Vehicle Inspection Report.
  • 4.22 A damage claim must include a completed complaint form, pre-drop-off and post-pickup photographs taken at Heathrow, and written acknowledgement from the attending driver where available.

5. Exclusions & limitations of liability

  • 5.1 The following limitations apply only to the extent permitted by law.
  • 5.2 We do not compensate loss or damage properly recoverable under the customer’s vehicle insurance, except where the law provides otherwise.
  • 5.3 We do not accept liability for indirect or consequential loss, including loss of earnings, unless such exclusion is unlawful.
  • 5.4 Compensation for vehicle loss or damage is capped at £15,000 where a cap is legally permitted.
  • 5.5 We do not inspect vehicle interiors. Dash cameras may be disconnected for security and privacy.
  • 5.6 We are not responsible for delayed or missed flights unless caused by a liability that cannot lawfully be excluded. Where we cannot provide the service, our liability may be limited to refunding the parking fee, subject to statutory rights.
  • 5.7 We are not responsible for pre-existing minor scratches or dents that could not reasonably be identified because of time or weather conditions.
  • 5.8 We are not responsible for pre-existing or inherent glass chips or broken windows unless caused by our negligence.
  • 5.9 We do not accept responsibility for cash, electronics, valuables or personal belongings left in the vehicle.
  • 5.10 We are not responsible for pre-existing paint discolouration, dents or scratches revealed by washing.
  • 5.11 We are not responsible for pre-existing or inherent alloy-wheel or tyre damage unless caused by our negligence.
  • 5.12 Where lawful and applicable, the customer must pay a £750 claim excess before approved repairs commence.
  • 5.13 Liability for theft, fire, vandalism, criminal damage or natural disasters is excluded only to the extent permitted by law and where the event was not caused or contributed to by our negligence.
  • 5.14 A minimum-claim threshold or excess of £750 applies only where lawful, fair, clearly disclosed and supported by the applicable insurance terms.

6. Amendments to terms & customer relations

  • 6.1 These conditions remain in force unless varied in writing with our express agreement. We may update terms for future bookings by publishing a revised version.
  • 6.2 Customers with a concern or inquiry should follow the Customer Relations Procedure below.

  • 6.4 We aim to respond within 14 working days.
  • 6.5 Matters are handled in writing. Incidents at drop-off or pickup must also be reported to the attending staff member for logging with the duty manager. Liability is not admitted until investigation is complete.

ULEZ notice

The Ultra Low Emission Zone covers London, including Heathrow Airport. Customers must check vehicle compliance and arrange Auto Pay or pay applicable charges before arrival. Vehicles may be moved between parking locations. C8 Airport Parking Heathrow is not responsible for ULEZ penalty charge notices caused by the customer’s failure to ensure compliance or payment, except where liability cannot lawfully be excluded.

Discounted rates are offered subject to these terms. Vehicle handling carries operational risks, including accidental damage, delay or misplaced keys. We will investigate any incident and apply these terms together with all applicable statutory rights.
